Planners? Lots of planners! A New Chapter in Operational Control

Dear Customers,

It has been some time since our last update article - and there is a reason for that.

Over the past months, we started cooperation with a new transport company operating a fleet of over 200 vehicles. Working closely with their dispatchers, planners, and management team allowed us to deeply analyze real operational challenges at scale.

Instead of publishing smaller incremental updates, we focused on building something much bigger.

Therefore, we will divide the recent improvements into several articles.

Today, we begin with one of the most significant additions to SmartCP:

Dispo-Plan - Full Operational Timeline for Your Fleet
Dispo-Plan

Transport operations become complex when information is scattered across orders, maintenance reports, notes, and Excel files.

Dispo-Plan centralizes everything into one structured, visual planning interface.

It provides a complete timeline view of every vehicle in your fleet - in real time.

What Dispo-Plan Changes

Instead of switching between modules or relying on memory and spreadsheets, dispatchers now see:

  • Transport orders
  • Planned (unassigned) orders
  • Maintenance and repairs
  • Breakdowns
  • Driver pauses and returns
  • Custom internal activities

All displayed chronologically for each vehicle.

One glance is enough to understand:

  • Who is driving
  • What the vehicle is doing
  • When it will be available
  • Where potential conflicts exist

Key Functional Areas

1) Unified Vehicle Timeline

Each vehicle has its own horizontal timeline showing all operational activities.

Orders, repairs, maintenance, breakdowns, and custom events are displayed in time sequence - eliminating blind spots and guesswork.

2) Planned Orders Section

Unassigned orders are displayed in a dedicated planning area.

Dispatchers can:

  • Keep future work visible
  • Assign orders at the right time
  • Avoid overbooking vehicles
  • Plan workload strategically instead of reactively

This makes long-term scheduling significantly clearer.

3) Conflict & Downtime Visibility

The system immediately shows:

  • Overlapping assignments
  • Maintenance blocking availability
  • Repair downtime
  • Gaps between orders

Potential problems are visible before they become operational failures.

4) Drag & Drop Planning

Activities can be assigned and rescheduled directly on the timeline.

No manual recalculation.

Planning becomes visual and intuitive.

5) Custom Activities

Every transport company has internal events that standard systems don’t cover.

Dispo-Plan allows you to create fully customizable activities such as:

  • Inspections
  • Technical checks
  • Internal transfers
  • Special operations
  • Administrative tasks

Your workflow - your structure.

6) Instant Vehicle Status Messaging

One of the most powerful additions.

Dispatchers can now send vehicle status updates directly from the Dispo-Plan.

No copying order numbers manually.

7) Reusable Message Templates

Create templates once and reuse them anytime:

  • Arrived at loading
  • Order completed
  • Delay notification
  • Waiting for POD
  • Customs clearance
  • Ferry boarding

Each message can automatically include:

  • Order number
  • Vehicle details
  • Location
  • Coordinates
  • Current status
  • Attachments (e.g., POD, order documents)

This ensures:

  • Faster communication
  • Standardized messaging
  • Fewer mistakes
  • Professional consistency under pressure

Why This Matters

When we began cooperation with a fleet of 200+ vehicles, one thing became clear:

At scale, even small inefficiencies multiply.

  • 2 minutes lost per vehicle becomes hours per day.
  • One overlooked maintenance window causes chain delays.
  • Poor visibility creates reactive management instead of strategic control.

Dispo-Plan was built to solve these issues at their root.

It replaces fragmented operational planning with one structured, centralized system.

Built Together With Real Dispatchers

This module was not built theoretically.

It was developed in daily collaboration with active dispatchers managing hundreds of vehicles.

Every element - from drag & drop behavior to timeline visibility - was tested and refined in real operational environments.

Driver Work Planning - Structured Visibility of Human Resources
Driver Work Planning

Operational control does not end with vehicles.

vehicle planning without structured driver planning creates bottlenecks.

Driver Work Planning timeline.

Clear Timeline for Every Driver

The Driver Work Planning module introduces a dedicated visual timeline for each driver - similar in logic to the vehicle timeline, but focused entirely on human resource availability.

In one view, you can see:

  • Assigned vehicles
  • Vacation periods
  • Return home periods
  • Reserves
  • Long-term assignments
  • Open-ended deployments
  • Custom driver-related events

Everything is displayed chronologically - eliminating uncertainty about availability.

Why This Matters

In growing transport companies, driver coordination often becomes fragmented:

  • Vacation notes in Excel
  • Verbal confirmations
  • Unclear end dates
  • Last-minute replacements

The result? Reactive management.

The new Driver Work Planning timeline ensures:

  • Immediate visibility of driver availability
  • Clear understanding of who is on vacation and when they return
  • No accidental assignment conflicts
  • Better long-term resource planning

Flexible Assignment Structure

Drivers can be:

  • Assigned to specific vehicles
  • Reserved for future planning
  • Marked as temporarily unavailable
  • Scheduled for return home periods
  • Managed with defined or undefined end dates

This flexibility is especially important for international transport operations, where assignments are often dynamic.

Scalable for Large Fleets

When managing 50+ or 200+ drivers, manual coordination is no longer sustainable.

The timeline structure allows dispatchers and HR managers to:

  • Plan weeks ahead
  • Detect overlapping allocations
  • Balance workload
  • Reduce downtime
  • Avoid driver shortages

Everything is visible in a single structured interface.

Integrated with Dispo-Plan

Driver planning is not isolated.

It works alongside Dispo-Plan to create a complete operational picture:

  • Vehicle availability
  • Driver availability
  • Order planning
  • Maintenance blocking periods

Together, they eliminate blind spots between fleet and human resource management.

Fleet Work Planning - Technical Control for Fleet Managers
Fleet Work Planning

This planner is dedicated to fleet managers and technical supervisors.

not transport execution - but vehicle technical control.

Dedicated Planning Layer for Fleet Management

The Fleet Work Planning timeline provides a structured overview of:

  • Maintenances
  • Repairs
  • Breakdowns
  • Driver return-home periods
  • Custom technical activities
  • Minimized transport orders (for context only)

Orders are visible in a simplified form to provide operational awareness, but the main focus remains on vehicle condition and service planning.

This ensures fleet managers can coordinate technical interventions without disrupting operations.

Why Separate It from Dispo-Plan?

In large transport companies, operational dispatching and fleet management are two distinct responsibilities.

Dispatchers focus on:

  • Route execution
  • Order timing
  • Driver allocation

Fleet managers focus on:

  • Preventive maintenance
  • Repair scheduling
  • Workshop coordination
  • Vehicle availability from a technical perspective

By separating these planning environments while keeping them structurally aligned, SmartCP allows each department to work efficiently - without information overload.

Preventive Maintenance Without Chaos

The Fleet Work Planning timeline helps:

  • Schedule oil changes and inspections in advance
  • Block vehicles for planned service
  • Coordinate workshop visits
  • Avoid unexpected downtime
  • See technical events in direct relation to operational assignments

This is particularly important when managing larger fleets, where even small maintenance delays can cascade into operational disruptions.

Integrated Yet Role-Oriented

Although Dispo-Plan, Driver Work Planning, and Fleet Work Planning serve different roles, they are fully interconnected.

Maintenance blocks affect dispatch decisions.

Each timeline supports a different decision-maker - but all operate within one unified system.

With these three synchronized planning layers:

  • Dispatchers control operations
  • HR manages driver availability
  • Fleet managers maintain technical reliability

Together, they create a complete operational control environment.
